Make the deal review about selling, not data entry

Mitra posts a pipeline hygiene report every Friday at 4pm, grouped by rep, so Monday's review starts with clean data. The agent reads every open HubSpot deal and lists the ones missing a close date, stuck in one stage, or with no next step.

Every Friday at 4pm, check my open HubSpot deals for missing close dates, stale stages and no next step. Post the list to #sales, grouped by owner.

What the agent actually does.

  1. Read every open deal

The agent reads all open deals with their owner, stage, value, close date and when the stage last changed.

  2. Check each against the rules

A blank close date, a stage stuck three weeks, no next step: each is a flag, and one deal can carry several.

  3. Group the flags by rep

The list is arranged by owner, so each rep reads their own five lines instead of scanning the pipeline.

  4. Post it before the weekend

The report goes out on Friday, so reps fix their own deals before the Monday review rather than during it.

  5. Record the run

Every deal read and flag raised is written down, so a rep who disagrees can see what the agent looked at.

Make it yours.

For the people who spend the first twenty minutes of every pipeline review correcting the CRM instead of talking about deals. Change any of this by saying so — there is nothing to rewire.

  • Only flag deals above a value, so small ones do not fill the list.
  • Send each rep their own flags and the totals to the channel.
  • Add deals whose close date has passed but are still marked open.

Questions, answered.

How do I find stale deals in my CRM every week?
Mitra reads your whole open pipeline on a schedule and lists the deals that break your rules. Stages that have not moved in three weeks, blank close dates and deals with no next step are each flagged separately, then posted to Slack by rep. Mitra runs the check every Friday.
Can Mitra send each rep only their own deals?
Yes. Mitra groups the report by deal owner, and can send each rep their own flags as a direct message instead of one shared post. Say which you want in plain English, and note that sales leads often ask for both: a message per rep, plus the totals in the channel.
